Manage Unposted Credit Card Transactions

Manage Unposted Credit Card Transactions allows you to create, edit, and save credit card transactions.

This Section Includes:

Filters

  1. The following options are available. Choose the appropriate Filters as needed.
  • Vendor: Select the Vendor by clicking the (not set) link or the Search  icon. This displays the Person Search window. By default the search text for the Name field searches for last names and organizations. To search for first and last names enter your search in the "lastname, firstname" format. You can also search by City and State. Select the vendor for which you are creating the credit card transaction and click the Select button. Alternately, click the Close link to return to the previous page without selecting a vendor.

NOTE: Search for just a first name by starting your search with a comma (e.g., ", James").  Display a complete list of vendors by searching for just a comma.

  • Credit Card Users: Options include Select all and every credit card user who has unposted transactions.
  • Reference #: Enter the reference number of the unposted credit card transaction you wish to view.
  • Invoice #: Enter the invoice number of the unposted credit card transaction you wish to view.
  • Date: Select the date range from which you want to view unposted credit card transactions. Additional date filters may appear depending on what option you choose.
  • Projects: Options include Select all and every project used in an unposted credit card transaction.
  • User: Options include Select all and every user who has unposted credit card transactions.
  • Order By: Select to order by Vendor Name or Sequence Entered.
  1. Click the Search button to display the results or the Clear Filters link to reset all filters.

Credit Card Transaction Grid

The grid displays transactions from the currently selected credit card. In addition, new transactions are entered to that credit card. Change the currently selected credit card to view pending transactions from and enter transactions to a different credit card (More Information).

The grid displays pending transactions with the following columns:

  • Vendor
  • Credit Card User
  • Reference #
  • Invoice #
  • 1099: Displays the 1099 status (if any) of the transaction. If the transaction has detail lines with different 1099 status types, the grid shows Multiple. Hover over this column to see the full 1099 status type or, if multiple, all 1099 status types associated with detail lines on the transaction.
  • Date
  • Attach
  • Note: Hover over the Note  icon to preview the note.
  • Setup: Hover over the Information  icon to display user and time information for when the transaction was set up and last updated.
  • Amount
  1. Double-click on a transaction or click the Edit  icon to edit a transaction in the grid.
  2. You can also click the Add New Transaction link to add a new credit card transaction (More Information).

Click the Delete  icon by a transaction in the grid to be prompted to delete that transaction.

Import Credit Card Transactions

  1. After clicking the Search button, click the Import Credit Card Transaction link on the right-hand side to import your credit card transactions from an .XLS or .XLSX file format.

Credit Card Transaction Edit Report

  1. Select the transactions you want to view.
  2. Click the Credit Card Transaction Edit Report button to display the Credit Card Transaction List.
  3. The Credit Card Transaction Edit Report allows you to view a report of selected unposted credit card transactions. For each transaction all detail is displayed along with Final Totals.
  4. Click Report Preferences on the blue bar above the report preview to access options for the report:
    • Print Notes
    • Print Setup Information
    • Print Project Information
    • Print Recap By Account
    • Print Recap by Project

If you have changed the selected options, click the Run Report button to display an updated report preview. You may also click the Clear Preferences link to reset all of your report preferences to their initial values. Once the preview displays you can navigate the pages, export to several formats (e.g., PDF, Excel, Word), and Print. Click Report Preferences on the blue bar above the report preview to return to Report Preferences. Click the Close Report button when finished to return to the Unposted Credit Card Transactions page.

Change Credit Card

  1. Select the transactions you want to assign to a different credit card.
  2. Click the Change Credit Card button to display the Change Credit Card window.
  3. Select the credit card to which you wish to assign the transactions.
  4. Click the Continue button.

Click the Close link to return to the previous page without changing the assigned credit card.

Post Credit Card Transactions

  1. Select the transactions you wish to post within the grid. You can also select the top box to select all transactions in the grid.
  2. Click the Post Credit Card Transactions button to begin the posting process.

The General Ledger Input Audit for Accounts Payable Credit Card Transactions report allows you to view selected credit card transactions before posting.

Report Preferences

  1. Click Report Preferences on the blue bar above the report preview to select from the following options:
    • Print Notes
    • Print Setup Information
    • Print Project Information
    • Print Recap By Account
    • Print Recap By Project

If you have changed the selected options, click the Run Report button to display an updated report preview. You may also click the Clear Preferences link to reset all of your report preferences to their initial values. Once the preview displays you can navigate the pages, export to several formats (e.g., PDF, Excel, Word), and Print.

Finalize Post

  1. Edit the Posting Date if desired.
  2. Click the Finalize Post button to finalize your transactions and post to General Ledger.

NOTE: The Post Directly to General Ledger without Editing option allows you to have your journal entry posted all the way through to the General Ledger History so that it can be viewed on reports and on the View Posted Journals page within General Ledger. This allows you to skip having to edit and post the journal entry in the Manage Unposted Journals page in General Ledger.

If you do not wish to post your credit card transactions click the Cancel link to return to the Unposted Credit Card Transactions page.
