The Void Payments Utility allows you to void payments within Accounts Receivable.

Payment Search
Select the Bill To by clicking the (not set) link or the Search icon. This displays the Person Search window. By default, the search text for the Name field searches for last names and organizations. To search for first and last names enter your search in the "lastname, firstname" format. You can also search by City and State. Select the individual for which you are voiding checks and click the Select button. Alternately, click the Close link to return to the previous page without selecting a bill to.
NOTE: Search for just a first name by starting your search with a comma (e.g., ", James"). Display a complete list of individuals by searching for just a comma.
Enter the Check # if you are manually entering the void payment information. Otherwise, click the Search icon to display the Check Search window. Double-click on the payment you wish to void or select it and click Select. You can also click the Cancel link to return to the Void Payments page without selecting a payment.
Enter the Payment Date if you are manually entering the void payment information. If you use the check search, this field is populated for you. Enter the Amount if you are manually entering the void payment information. If you use the check search, this field is populated for you.
Click the Add to Grid button to add the selected payment to the grid. You can click the Delete icon by any check to be prompted to delete that check from the grid. The Void Payments grid contains the following columns for each check:
- Bill To
- Check Number
- Payment Date
- Amount
Void Payment Edit Report
The Void Payment Edit Report button is available once you add at least one payment to be voided in the grid. Click this button to display a preview of the Void Payment Edit report. All of the details for each payment are displayed along with totals for each check and final totals.
Once the preview displays you can navigate the pages, export to several formats (e.g., PDF, Excel, Word), and Print. Click the Close Report button to return to the Void Payments page.
Post Void Payments
Click the Void Payments button to begin the voiding process for all payments in the grid.
Void Payments - Post allows you to preview the Accounts Receivable Void Payment Final Register before finalizing.

Void Payment Final Register
For each bill to every payment, you are voiding is broken down with the following columns:
- Check# / Invoice#
- Payment Date / Inv. Date
- Unapplied
- Check Amount
- Discount
- Write Off
- Outstanding
- Misc. Cash Description
Rows in bold are the payments with the payment detail on subsequent rows.
There are totals for each bill to and and Final Totals at the bottom of the report. You can navigate the pages, export to several formats (e.g., PDF, Excel, Word), and Print.
Finalize Post
Edit the Posting Date if desired and then click the Finalize Post button which finalizes your void payments and post them to General Ledger.
NOTE: The Post Directly to General Ledger without Editing option allows you to have your journal entry posted all the way through to the General Ledger History so that it can be viewed on reports and on the View Posted Journals page within General Ledger. This allows you to skip having to edit and post the journal entry in the Manage Unposted Journals page in General Ledger.
If you do not wish to post your void payments click the Cancel link to return to the main Void Payments page.
