Manage Recurring Journals

Manage Recurring Journals allows you add, edit, and transfer recurring journal entries.

Report Preferences

The last time that recurring entries were transferred, and which user performed the transfer is displayed at the top.

  1. Click Report Preferences on the blue bar above the grid to access these options:
    • Journal Types: You can select to view only certain types of recurring journals (e.g., PR for payroll, JE for manual entry). Only types represented in the grid are listed.
    • Active Status: You can select to only view active or inactive recurring journals.
    • Recurring Type: You can select to only view journals distributed by amount or by percent.
  1. Click the Search button to filter your grid results or the Clear Filters link to reset the filters. 

Recurring Journals Grid

For each recurring journal in the grid, the following columns are displayed:

  • Type
  • Description
  • Amount
  • Active: Displays a check if the recurring journal is active.
  • Note: Hover over the Note icon to preview the note.
  • User
  • Setup: Hover over the Information icon to display user and time information for when the journal was set up and last updated.
  1. Click the Copy icon by any recurring journal in the grid to create a copy of that recurring journal.
  2. Double-click an existing journal or click the pencil to Edit.
  3. You can also click the Add New Recurring Journal link to add a new recurring journal (More Information).

Click the Delete icon by any recurring journal in the grid to be prompted to delete it.

Recurring Journal Edit Report

The Recurring Journal Edit Report button is available once you select at least one recurring journal in the grid. You can also select the top box to select all manual checks in the grid.

  1. Clicking this button displays a preview of the List of Recurring Journals. For each journal all detail is displayed along with Final Totals for selected journals.
  2. Click Report Preferences on the blue bar above the report preview to access options for the report.
  3. Select the Change Appearance? check box in order to change the font type and size. There is also a drop-down option to control the white space between the columns by a percentage.
  4. Choose the Report Options:
    • Print Journal Notes
    • Print Setup Information
  1. Choose the Page Break Options:
    • none
    • By Type of Journal: A page break is inserted when the journal type changes.
  1. Choose to Sort Detail By:
    • Account #
    • Sequence Entered.

If you have changed the selected options, click the Run Report button to display an updated report preview. You may also click the Clear Preferences link to reset all of your report preferences to their initial values. Once the preview displays you can navigate the pages, export to several formats (e.g., PDF, Excel, Word), and Print. Click Report Preferences on the blue bar above the report preview to return to Report Preferences. Click the Close Report button when finished to return to the Recurring Journals page.

Transfer Journals

  1. Select the journals you want to transfer within the grid. You can also select the top box to select all recurring journals in the grid.
  2. Click the Transfer Recurring Journals button to begin the transfer process.

Transfer Journals allows you to transfer your recurring journals into the currently selected period.

  1. Enter the Date.
  2. Click the OK button to move forward in the transfer process.

Click the Cancel link to return to the Recurring Journals page without transferring.

The Posting List of Recurring Journals report displays a report of selected recurring journals. For each journal all detail is displayed.

  1. Click Report Preferences on the blue bar above the report preview to access options for the report.
  2. Choose the Report Options.
    • Print Journal Notes
    • Print Setup Information
  1. Choose the Page Break Options.
    • none
    • By Type of Journal: A page break is inserted when the journal type changes.
  1. Choose to Sort Detail By:
    • Account #
    • Sequence Entered.

If you have changed the selected options, click the Run Report button to display an updated report preview. You may also click the Clear Preferences link to reset all of your report preferences to their initial values. Once the preview displays you can navigate the pages, export to several formats (e.g., PDF, Excel, Word), and Print. Click Report Preferences on the blue bar above the report preview to return to Report Preferences.

For recurring journals that are distributing by percentage the report shows the percentage breakdown instead of amounts. 

Finalize Post

  1. Click the Finalize Post button which finalizes the transfer of the journals to Unposted Journals and return to the Recurring Journals page.

NOTE: The Post Directly to General Ledger without Editing option allows you to have your journal entry posted all the way through to the General Ledger History so that it can be viewed on reports and on the View Posted Journals page within General Ledger. This allows you to skip having to edit and post the journal entry in the Manage Unposted Journals page in General Ledger.

If you do not wish to finalize the transfer of the journals, click the Cancel link to return to the Recurring Journals page.
