Void Checks

The Void Checks Utility allows you to void posted checks within Payroll.

Filters

Select the Employee by clicking the (not set) link or the Search  icon. This displays the Person Search window. By default, the search text for the Name field searches for last names and organizations. To search for first and last names enter your search in the "lastname, firstname" format. You can also search by City and State. Select the employee for which you are voiding checks and click the Select button. Alternately, click the Close link to return to the previous page without selecting an employee.

NOTE: Search for just a first name by starting your search with a comma (e.g., ", James"). Display a complete list of employees by searching for just a comma.

Click the Search  icon or press "s" in the Check # field to display the Check Search field. Double-click on the check you wish to void or select it and click the Select button. You can also click the Cancel link to return to the Void Checks page without selecting a check.

Click Add to Grid to add the selected check to the grid. You can click the Delete  icon to be prompted to delete a check from the grid. 

Void Checks Grid

The Void Checks grid contains the following columns for each check:

  • Check Number
  • Check Date
  • Name
  • Amount

Void Check Edit Report

The Void Check Edit Report button is available once you add at least one check to be voided in the grid. You can also select the top box to select all checks in the grid. Click this button to display a preview of the Void Check Edit report. All details for each check are displayed along with Final Totals at the bottom of the report.

Once the preview displays you can navigate the pages, export to several formats (e.g., PDF, Excel, Word), and Print. Click the Close Report button to return to the Void Checks page.

Post Void Checks

Click the Void Checks button to begin the voiding process for all checks in the grid.

Void Checks - Post allows you to preview the Void Check Register Journal before finalizing. This report shows the detail of every check you are voiding as well as Final Totals at the bottom of the report. You can navigate the pages, export to several formats (e.g., PDF, Excel, Word), and Print. Verify the Posting Date then click the Finalize Post button which finalizes your void checks and post them to General Ledger.

NOTE: The Post Directly to General Ledger without Editing option allows you to have your journal entry posted all the way through to the General Ledger History so that it can be viewed on reports and on the View Posted Journals page within General Ledger. This allows you to skip having to edit and post the journal entry in the Manage Unposted Journals page in General Ledger.

If you do not wish to post your void checks, click the Cancel link to return to the main Void Checks page.
