Monthly Statements

The Monthly Statements report allows you to print Deposits on Hand Statements for a date range. You can also run statements for specific account types or a specific account.

Filters

  1. Complete the following options as needed.
    • Statement Start Date
    • End Date - This date range is used for selecting detail to print on the Statement based on the transaction date. The End Date of this range is displayed on the Statement as the Statement Date and determines the amount of unposted interest displayed on the report.
    • Account Type - Select from the drop-down to select one or more account types on which to filter.
    • Select Account - Click the Select Account button to bring up the Account Search window where you can select an account.
    • Include Inactive Accounts?

Options

  1. Complete the following options as needed.
    • Statement Design - Choose from the drop-down list. This determines what prints on your statements and how they are laid out. You can create and modify statement designs in Modify Statement Design (More Information).
    • Include Notes?
    • Email statements?
    • Send Email To All Addresses On File?

Emailing Statements - Setup

When the option to Email statements with addresses is selected in order for a depositor to receive a statement by email, they must have both of the following:

  • Active email address on individual record
  • Social Security Number (or Federal Tax ID Number) on individual record (used for securing voucher PDF)

If a depositor has no active email address a statement prints for that individual. If a depositor has an active email address but no Social Security Number/Federal Tax ID Number a statement does not print for that individual and they are not emailed. The administrator is notified by email of any depositors who do not have Social Security Numbers/Federal Tax ID Numbers on their record. Once the Social Security Number/Federal Tax ID Number is added to the individual record the statement is queued to be emailed.

Emailing Statements

When the option to Email statements with addresses is selected and after the report runs, any statement emails are queued for sending to your mail server. Make sure that the email configuration has been properly set up (More Information). 

 Vouchers are sent as secured PDF files. The password is the last four digits of the individual's Social Security Number or Federal Tax ID Number (for organizations).

 

Customers who are self-hosted cannot email statements unless the user agent is configured properly. Please reference How to Use User Agents in the Financials for instructions.

Report

  1. Click the Run Report button to generate a preview of the report. Refer to the Report Preview help page for more information. Click the Clear Preferences link to reset all of your report preferences to their default values if needed. 
  2. Click the Close Report button to return to the dashboard.
