Manage Unposted Transactions

Manage Unposted Transactions allows you to create, edit, and save Deposits on Hand transactions.

This Section Includes:

Filters

  1. The following options are available. Choose the appropriate Filters as needed.
    • Group: Options include every group that contains account types.
    • Account Type: Select the account type from which you wish to display unposted transactions.
    • Depositor: Select the Depositor by clicking the (not set) link or the Search  icon. This displays the Person Search window. By default, the search text for the Name field searches for last names and organizations. To search for first and last names enter your search in the "lastname, firstname" format. You can also search by City and State. Select the depositor for which you are creating the account and click the Select button. Alternately, click the Close link to return to the previous page without selecting a depositor.

NOTE: Search for just a first name by starting your search with a comma (e.g., ", James"). Display a complete list of individuals by searching for just a comma.

    • Account Name: Type all or part of the account name by which to filter.
    • Account Number: Type all or part of the account number by which to filter.
    • Transaction Date: Select the date range from which you want to view unposted transactions. Additional date filters may appear depending on what option you choose.

    • Transactions To Include:
      • Deposits
      • Withdrawals
      • Adjustments.
    • Sort By:
      • Depositor
      • Account #
      • Account Name
      • Date.
  1. Click the Search button to display results or the Clear Filters link to reset all filters.

Transaction Grid

The grid displays transactions matching the selected filters with the following columns:

  • Depositor
  • Account Number
  • Account Name
  • Date
  • Type
  • Check #
  • Amount
  • Note: Hover over the Note  icon to preview the note.
  • Setup: Hover over the Information  icon to display user and time information for when the transaction was set up and last updated.
  • Attach: Hover over the Attach  icon to see any notes on the attachment(s) and the filenames of attached files.
  1. Double-click on a transaction or click the Edit  icon to edit a transaction in the grid.
  2. You can also click the Add New Transaction link to add a new transaction (More Information).

Click the Delete  icon by any transaction in the grid to be prompted to delete that transaction.

Transaction Edit Report

  1. Select the transactions you want to view.
  2. Click the Transaction Edit Report button to display the Transaction Edit Report. For each selected transaction the following columns display: AccountDateTypeCheck #, and Amount. The Net Change and totals for each Type also display.
  3. Once the preview displays You can navigate the pages, export to several formats (e.g., PDF, Excel, Word), and Print.
  4. Click the Close Report button to return to the Unposted Transactions page.

Post Transactions

  1. Select the transactions you wish to post within the grid. You can also select the top box to select all transactions in the grid.
  2. Click the Post Transactions button to begin the posting process.

Manage Unposted Transactions – Post allows you to preview your transactions before finalizing. This displays a preview of the Post Transactions report.

This Section Includes:

Report Preview

For each selected transaction the following columns display: AccountDateTypeCheck #, and Amount. The Net Change and totals for each Type also display.

  1. Once the preview displays You can navigate the pages, export to several formats (e.g., PDF, Excel, Word), and Print.

Finalize Post

  1. Change the Posting Date if desired.
  2. Then click the Finalize Post button to finalize your transactions and post them to General Ledger. If you are posting Withdrawal transactions that have not yet been paid, then an invoice in Accounts Payable is generated and you are taken directly to Accounts Payable Payment Processing to pay the invoices and generate your checks (More Information).

NOTE: The Post Directly to General Ledger without Editing option allows you to have your journal entry posted all the way through to the General Ledger History so that it can be viewed on reports and on the View Posted Journals page within General Ledger. This allows you to skip having to edit and post the journal entry in the Manage Unposted Journals page in General Ledger.

If you do not wish to post your transactions click the Cancel link to return to the Unposted Transactions page.
